Job Description
1. Office Administration
▪ Manage and maintain office facilities, equipment, furniture, and supplies.
▪ Monitor office consumables and coordinate procurement requests.
▪ Ensure proper filing, document control, and administrative record management.
▪ Coordinate office renovation, repair, and maintenance works.
2. Facility Management
▪ Monitor building maintenance, utilities, and infrastructure.
▪ Coordinate with service providers for cleaning, pest control, landscaping, and
maintenance services.
▪ Conduct regular facility inspections and implement corrective actions.
▪ Ensure office and common areas remain clean, organized, and safe.
3. Company Asset Management
▪ Maintain an updated asset register.
▪ Monitor allocation, movement, transfer, and disposal of company assets.
▪ Conduct periodic asset verification and inventory checks.
▪ Coordinate repairs and maintenance of company assets.
4. Security & Safety Coordination
▪ Coordinate with security service providers to ensure workplace security.
▪ Monitor visitor management and access control systems.
▪ Support implementation of workplace safety requirements.
▪ Assist emergency response and evacuation activities.
5. Transportation & Vehicle Administration
▪ Manage company vehicle schedules and utilization.
▪ Coordinate vehicle maintenance, insurance, registration, and fuel consumption records.
▪ Monitor driver performance and compliance with company rules.
▪ Ensure transportation services run efficiently and safely.
6. Employee Welfare & Support Services
▪ Coordinate staff uniforms, lockers, parking areas, and employee facilities.
▪ Assist in organizing company events, meetings, training, and employee engagement
activities.
▪ Support employee accommodation and welfare programs when applicable.
▪ Address administrative requests from employees.
7. Vendor and Contract Management
▪ Coordinate quotations, vendor selection, and service agreements.
▪ Monitor vendor performance and contract compliance.
▪ Process administrative payments and related documentation.
▪ Maintain vendor records and evaluations.
8. Regulatory Compliance
▪ Ensure administrative operations comply with company policies and legal requirements.
▪ Coordinate permits, licenses, and government-related administrative matters.
▪ Support internal and external audits related to administration and facilities.
Job Requirement
Educational Background / Work Experience
▪ Bachelor's degree in business administration, or a related field.
▪ Language: English Competency.
▪ Minimum of 1- 3 years of experience in GA
▪ Excellent communication and interpersonal skills.
▪ Strong organizational and time management skills.
▪ Ability to work independently and as part of a team.
