Job Description

 Compliance
• With direction from the Core Management Team, ensure all reporting and registration requirements with various Ministries and other government departments are met (e.g. submitting paperwork to renew our MOU)
• Support the Core Management team to keep up to date with new national laws and policies that company needs to follow (e.g. tax regulations, social security, etc) and help to make sure we follow the regulations
• Be the main representative of company within CCC, and use this network to help company improve 
• Ensure all of company insurances (health, fire, liability etc) are updated every year

Administration
• Work with the Office Assistant to receive, sort and distribute incoming and outgoing mail
• Support staff with printing, scanning, filing, etc as needed when there are special projects
• Maintain office filing systems, including contracts, HR files and other important records
• Coordinate purchase of equipment and supplies, and keep track of our assets and inventory to make sure all equipment is well cared for and in good working order
• Manage travel bookings, such as bus, plane, hotel etc, as needed by other company Teams
• Support with recruitment advertising
• Deal with any ticket sales or product sales that happen in the head office
• Manage visa applications and processing for any international staff
• Translate internal documents on request, e.g. policies and procedures (Khmer/English), and coordinate external translation as needed
• Oversee the booking schedule of the meeting and rehearsal facilities
• Work with our vendors to make purchases and reconcile invoices
• Ensure the noticeboard outside the office is kept up to date
• Identify problems in operations process and resolve them in quickly and timely manner
• Support staff to process claims with NSSF or other insurances

Office management
• Oversee the facilities staff to ensure that the condition of the office is maintained to a high standard and arrange for necessary repairs quickly and efficiently
• Be the first point of contact for outside visitors coming to company (by phone and in-person) and help refer them to the right team to solve their query if needed
• Manage the logistics for events taking place in the office, including directing facilities staff for any preparation
• Make sure fire safety equipment at all locations is tested regularly and working well
• Ensure all staff follow our organization policies and procedures

Job Requirement

• Proven office management, administrative or assistant experience
• Knowledge of office management responsibilities, systems and procedures 
• Confident with IT systems and technology
• Excellent time management and able to multi-task and prioritise work
• Attention to detail and problem solving skill
• Strong organizational and planning skills
• Computer Skills and Knowledge of office software packages.
