Job Description

Administrative 

• Provide administrative and secretarial support to the Director; 

• Prioritize and ensure that reports, business papers and correspondence are dealt with efficiently and promptly; 

• Handles all corporate secretarial and some legal and compliance documentation; 

• Make travel and logistics arrangements, of which include flight booking and hotel accommodation; 

• Arranges meetings, provides needed background information and completing expense reports for reimbursement after the trip; 

• Advise the Director of matters requiring personal attention, with associated deadlines, and preparing relevant documentation; 

• Deal with matters requiring attention, or refer them to the appropriate person in the absence of the Director; · 

• Provide administrative and clerical support to meetings; 

• Take notes or minutes of various Board, Board Committee, stakeholders and other meetings when required; 

• Check and inform Director of agenda and ensuring that all matters are discussed according to agenda, matters outside of agenda for Board Committee or stakeholders’ meetings should be promptly notified to Director during meeting; 

• Check for sufficiency paperwork documentation for contents of meeting to ensure that all resolutions passed are legally valid; 

• Identify and follow up on further documentation needed; 

• Assist with general administrative and clerical tasks such as answering phones, faxing, mailing, filing and photocopying; 

• Arranges logistics for visitors, coordinate conference calls, transcribe notes and type correspondence; 

• Manages all correspondence addressed to the Director; 

• Assist with letters and presentations for Director; 

• Assist Director in planning and prioritizing all tasks and ensuring proper follow up is adhered to; 

• Liaise with Government Authorities, Commissioners Office, Sub Registrar offices for legal and bank approvals if needed; 

• Maintain a database of all liaison related documentation; constantly monitor the same and ensure timely renewal of approvals. Special projects 

• Carries out special projects as allocated by Director; 

• Carries out research and analysis that may be needed for projects; 

• Communicates with stakeholders, clients, visitors to achieve aims of projects; 

• Monitors progress of projects allocated to staff by Director; 

• Prepares reports to Director on progress and implement any actions; and 

• Any other tasks as and when assigned by Director.

Job Requirement

• A recognized bachelor’s Degree, specializing in Business Administration or related discipline. 

• Proficiency in Mandarin, English, and Khmer 

• Minimum 2 to 5 years of similar working experiences or relevant 

• Must contain a concrete experienced in producing/managing contractual documents 

• Strong sense of private & confidentiality 

• Independent and motivated 

• Good planning & prioritizing skills 

• Pleasant & positive disposition 

• Able to work well under pressure 

• Dynamic and be able to work on several projects simultaneously and manage deadlines 

• Able to work in a highly matrix and multicultural environment 

• Strong oral and written communications skills and has a healthy lifestyle 

• High ethics, morals and professional standards, maintain confidentiality standards, good social behavior neat appearance must have an attention for details common sense and good judgment and a problem solver.
